Can AI book meetings directly on your calendar?

How do guests pick a time themselves?
With a booking page. GATE publishes a public page for each kind of meeting you offer, with its length, buffers before and after, minimum notice, how far ahead it can be booked and a weekly availability grid. The page reads one pinned Google Calendar live and shows only the times that are free. If that calendar cannot be read, the page shows no times at all rather than times that might clash.
The guest picks a time and gets an invite with a Google Meet link, a GATE Meet room or an address, plus up to two reminder emails. Each email carries a link to move or cancel the meeting, and a move shifts the same calendar event. How does the agent avoid double-booking?
- It reads before it books. The busy times in the connected Google Calendar come first, and a slot that overlaps anything is skipped.
- Free times only on booking pages. A guest only ever sees times the pinned calendar has free.

Does it work with Google Calendar and Microsoft 365?

Who approves a booking?
You choose per action. In GATE’s CRM, booking a meeting has its own setting: off, suggest, approve or automatic. GATE ships on approve, so every booking the agent wants to make for a lead waits in the CRM Inbox until a person presses approve, and a bot can never approve. A booking page needs no approval, because the guest picks a free time. Start with approval on, and loosen the setting once you trust what you see.
What GATE’s calendar work does not do
- Rotas and shift plans. Building staff schedules under collective agreements and rest rules is workforce management, a different kind of software. GATE does not do it, and it does not make school timetables either.
- Writing to Outlook. Microsoft 365 calendars are read only.
- Haggling over times by email. The agent takes a free slot or sends your booking page; it does not trade emails about whether Tuesday works.
- Text messages. Booking page reminders go by email.
- The last day of the month. A monthly job runs on a set day, and a month without that day is skipped.
How do you start?
